The University of Prince Edward Island has its own management information system called UIS. UIS allows authorized individuals who work on campus at UPEI to access certain information, whether it be regarding their department, account, budget, purchases, etc. Below are a set of basic instructions on how to access the UIS system and use specific functions of the system.

Getting Started
- Double click on the UIS Icon or QVT Net on your desktop.
- The screen will ask for a username and password. Enter. (If you do not have a username and password, contact Computer Services at 566-0465 and ask for username, password, and access to "budget".)
- If you have signed in successfully, a $ will appear. Type in the word "budget".
- The screen should now show various options. The number you type in will depend on what information you need to access.
- Each screen option will provide you with basic instructions on how to find the information you need. The screen should tell you which buttons of the keyboard will allow you to perform certain functions. (Ex. * to End, F11 for Help, etc.)
- For further and more extensive information for each option see instructions provided below.
Option 201 "Departmental Budgets"
This account details the expenditure information and budget information for all of UPEI's accounts.
- From the main screen, input "201". This will enter you into a new blank screen.
- By typing in F12, this will allow you to view all accounts that you have access to. To view more accounts, use the "page down" button on your keyboard.
- Once you have placed the cursor on or highlighted a particular account, press "enter" or F12. Once you are finished, press *. If you want to look at information from another year, simply press F2 while on the blank screen and choose your preferred year.
- Once you have chosen the year you want, enter the account number of which you want details. The sytem should show this account's budget, total expenditures to date, and the details of expenditures (including class, budget, and expenditure).
- For further information on a particular type of expenditure, place cursor on a particular class, press F3, then F12 on the particular class in question. A new screen will appear listing all tranactions of this account. To obtain more information on a particular transaction, press F2. This will show descriptive details of this transaction. Once you have finished, press * to return to the previous screen.
- Another option is to find the budget details of an account. To do this, press F2, then F12. This screen will show actual to date budget, and available dollars. To retrieve more details of a particular transaction, press F2.
- Note that there are budgets for the "4" accounts expenditures and the "3" accounts revenues. In general, there are no other budgets on the system.
Option 204 "Purchase Orders"
This account details purchase orders.
- To check if a Purchase Order (PO) has been paid, simply type in the PO number and press F12. This will bring up all the details of that particular PO. Note that you are looking under the correct year. To change the year, press F3 and choose your preferred year.
- If this PO has not been paid, the "Expenditure" heading will show a balance of $0.00. If a PO has been paid, it will show the amount that has been paid. Note that if a PO has been completely paid, the "Grand Total" heading at the bottom right corner of the screen should show a $0.00 balance. However, if a PO has only been partially paid, there will be a remainder balance shown under "Grand Total".
- If you do not know the PO number, there are various other fields that you can fill in to bring up details. For example, if you know the department and class number, type in the department number under the "Dept#" heading and the class number under the "Class" heading, then press F12. This will bring up all of the purchase orders done within that department and class under that particular year you were searching. To go to the next PO, Press F12. Use the tab key to go from heading to heading, however, note that to backtrack to a previous heading, you have to use Ctrl+P.
- At any point, press * to go back to a blank screen.

Option 212 "Expenditure Reports"
- Once you enter this function, the first screen will show two boxes. The box on the left displays all closed months of the current fiscal year (fiscal year is considered May 1st - April 30th). The computer will automatically show a "Y" beside the latest closed month. However, if you want to change the month, press F1 on the latest closed month to "N". Then scroll to month(s) that you want to print and press F1 to "Y".
- The box on the right will show all of the departments that you have access to. To choose the department you want to print, press F1, then F12. A pop up box will appear. Enter "Y". The report you requested should process and be sent to the printer stated on your screen.
- You will be asked if you want to include the transaction detail report. Type "Y" to select all the transactions for the month and type "N" to receive only a summary for one class.
- If there is no printer showing, contact Computer Services at 566-0465 to set up and configure a printer.
- Note that at any point, if you want to change the year press F2 and choose your desired year.
